1. Introduction
This Privacy Policy explains how information is collected, used, stored, and shared through the Rabies Launchpad web application and VaxApp mobile application (collectively, the 'Platform').
The Platform is designed to support rabies surveillance, prevention, control, and elimination programs by enabling the collection, management, synchronization, and reporting of operational and epidemiological data.
The Platform is provided by Worldwide Veterinary Service ('Processor', 'we', 'us', or 'our'). We act solely as a Data Processor on behalf of the organizations that use the Platform. The organization that licenses and uses the Platform ('Customer', 'Organization', or 'Data Controller') determines the purposes and means of processing personal data and remains the owner and controller of all data collected through the Platform.
2. Scope
This Privacy Policy applies to:
The VaxApp mobile application.
The Rabies Launchpad web application.
Associated services used to synchronize, store, process, and report data collected through the Platform.
3. Information Collected
The types of information collected depend on how the Platform is configured and used by the Organization.
Information may include:
Operational and Program Data
Rabies surveillance records.
Animal vaccination records.
Bite incident reports.
Field activity records.
Program monitoring and evaluation data.
Case investigation and follow-up information.
Photos of animals as recorded by user.
User Account Information
Name.
Email address.
Phone number.
Role and permissions within the Platform.
Device Information
Device type.
Operating system version.
Application version.
Diagnostic and error logs.
Location Information
The mobile application may request access to the device's location.
Location data may be collected:
To record the geographic location of field activities.
To improve the accuracy of surveillance and reporting.
To support mapping and monitoring activities related to rabies elimination programs.
Location information is collected only when permitted by the user, this will request access to ACCESS_BACKGROUND_LOCATION, ACCESS_COARSE_LOCATION, ACCESS_FINE_LOCATION and equivalent on iOS.
4. Data Synchronization
Data entered into the mobile application may be stored temporarily on the device and synchronized with secure web servers when internet connectivity is available.
Synchronization may include:
Program records.
User information.
Location information.
Operational metadata necessary for system functionality.
The synchronization process is intended to ensure that field-collected data is available to authorized personnel through the web application and related reporting tools.
5. How Information Is Used
Information processed through the Platform may be used by the Organization for purposes including:

Reporting and analytics.
Monitoring field operations.
Compliance with public health requirements.

We process information only on documented instructions from the Organization, except where otherwise required by law.
6. Data Ownership and Control
All data collected through the Platform belongs to the Organization using the Platform.
The Organization acts as the Data Controller and is responsible for:
Determining what data is collected.
Establishing the legal basis for processing.
Responding to data subject requests.
Defining retention periods.
Ensuring compliance with applicable privacy and data protection laws.
Worldwide Veterinary Service acts solely as a Data Processor and does not claim ownership of any data entered into the Platform by the Organization or its users.
7. Data Sharing
We do not sell any information.
Information may be disclosed:
To the Organization that controls the data.
To authorized service providers that support hosting, infrastructure, maintenance, and security of the Platform.
Where required by applicable law, regulation, court order, or governmental authority.
All disclosures are limited to what is necessary to provide the Platform and comply with legal obligations.
8. Data Security
We implement reasonable technical and organizational measures designed to protect information against unauthorized access, disclosure, alteration, or destruction.
These measures may include:

Secure hosting infrastructure.

No method of transmission or storage can be guaranteed to be completely secure, and users should take appropriate precautions to protect their accounts and devices.

We retain information only for as long as instructed by the Organization or as required to provide the Platform and comply with legal obligations.
Retention periods are determined by the Organization acting as Data Controller.

Information may be processed or stored in countries other than the country where it was collected.
Where applicable, appropriate safeguards will be implemented to protect personal data in accordance with relevant data protection laws.

Depending on applicable laws, individuals may have rights relating to their personal information, including rights to:

Request data portability where applicable.
Requests relating to personal information should generally be directed to the Organization that collected and controls the data..
12. Children's Information
The Platform is intended for use by authorized personnel and program staff. The Platform is not directed to children as end users.
Where information relating to minors is collected as part of public health, surveillance, or program activities, such collection is determined and controlled by the Organization acting as Data Controller.
13. Third-Party Services
The Platform may rely on third-party infrastructure, cloud hosting, mapping, analytics, authentication, or communication services necessary for operation.
Such providers may process information only to the extent necessary to deliver their services.

We may update this Privacy Policy from time to time. Updated versions will be published through the Platform or other appropriate channels.
